Selection process

Before applying for a grant for your project please read the information about the Eligibility and Selection process carefully. The answers to the majority of queries raised by applicants can be found in those sections. It is important to ensure that your organisation and your particular project meet our grant criteria and conditions before you contact us.


  • Grant seekers submit their inquiries through the online Application Form on this website

  • Application date:from 1 March until 1 May in the spring and from 1 September until 1 November in the autumn.

  • All complete applications that aligned with the Katalpa Funds aims will be reviewed.

  • A confirmation note will be sent to an applicant by email: support@katalpafund.org when the application has been received.

  • It may be that the Steering Committee asks for additional information, visits your organisation, or conducts a telephone discussion.

  • Valid applications will then be reviewed by the members of the Steering Committee, two times a year in May and November, according to the aims of the Fund and the overall impact of the proposed actions of the project.

  • Feedback will be provided by email within two weeks after the application has been assessed by the Steering Committee and the selected NGO for a successful award of a grant will be notified within three weeks.

  • If your application is not successful, PLEASE NOTE: We regret that we are unable to provide detailed feedback explaining why a particular proposal was unsuccessful. Unfortunately, the Katalpa Fund receives many more requests for funding than we are able to support, and we regret that we may reject some good proposals, even though they may meet our criteria and condition.

  • Payment of the successful grant will be funded to the grantee according to a related instruction to be sent by email from the Fund. The instruction will explain conditions that apply to the grantee and inform how and when the grant will be received, and how payment is made.

  • Any delays in the project after the fund is received by the organisation should be proactively notified to the Fund.

  • The Grantee sends a complete report (in Mongolian and English) on the use of the allocated funds at the end of the project within a month.

  • Depending on the grant amount and the nature of the project, it may be asked to undertake a review and evaluation of the project. Full details of the monitoring information required are given in the Katalpa Funds “Grant Award Announcement” letter.


Data protection

Personal information provided by organisations applying for grants will be held and used in strict accordance with the related law of Mongolia, international Data Protection Act (1998) and the General Data Protection Regulation (2018). The Katalpa Fund is asked to have consent to hold and use personal data provided by grant applicants for the purpose of processing and assessing grant applications. This may include the transfer of data to third parties for the same purpose. The Fund asks for further assurance that personal data about any other individual or individuals associated with a grant application is provided to the Fund with his/her/ consent.
